Program Support Assistant - MI Support Services - Tama, IA

Program Support Assistant

The Program Support Assistant is responsible for providing administrative support to team members through the planning and implementation to a department or series of department within a larger organization. The administrative support includes duties such as answering phones and emails, filing, and managing schedules, while also assisting in budget oversight and event planning. This role specifically serves the department of Pest Control.

Duties/Responsibilities:

  • Welcomes visitors, answers phone, and responds to emails.
  • Makes reminder calls to customers for appointments, balances, etc.
  • Maintains customer files.
  • Sends customer correspondence as needed. 
  • Manages the Program Manager’s calendar.
  • Schedule’s appointments and meetings for staff.
  • Maintains office calendars and sends out reminders of impending appointments.
  • Processes payments for vendors, suppliers, and clients as required.
  • Inputs sales orders and makes customer invoices.
  • Assists with typing and printing of reports and letters as required.
  • Builds spreadsheets for recordkeeping.  
  • Proofreads, files, and maintains office records.
  • Attends staff meetings and takes minutes.
  • Acts as a liaison between different departments.
  • Readies customer deposits for the Fiscal department.
  • Keeps main office neat and organized.
  • Inventories supplies and reorders as necessary
  • Proficient with Microsoft Office suite or related software.
  • Excellent organizational, time management and prioritizing skills.
  • Performs other duties as assigned.

Requirements:

  • Associates Degree in a related field and two (2) years of experience in administrative and clerical human resources duties; OR, an equivalent combination of education and experience;
  • Must possess strong computer skills and experience using MS Office;
  • Prefer prior experience using timeclock, accounting, and human resources management systems;
  • Must have strong verbal and written communication skills;
  • Must understand, exhibit, demonstrate and maintain a high level of professionalism, integrity, ethical conduct, and confidentiality; 
  • Must have the ability to follow directives, work effectively, prioritize tasks and perform duties without direct supervision;
  • Must possess a valid driver’s license and be insurable by the company provider;
  • Must successfully pass a background check.

    Physical Requirements:

    • Moderate physical activity such as walking, standing, and light lifting is involved in many daily activities.
    • The majority of time will be spent in a temperature-controlled office setting.
    • Must be able to lift 15 pounds at times.

    Human Resources Assistant - Meskwaki, Inc. - Tama, IA

    SUMMARY: Provides administrative and clerical support to the Human Resources Department. Duties include assisting with data entries, maintaining personnel files, and processing employee status changes and performance evaluations. Additionally, coordinate and conduct candidate interviews, process invoices, perform new hire onboarding and pre-employment drug testing, and perform new hire orientation.

    DUTIES AND RESPONSIBILITIES:

    • Create, organize, update and maintain personnel and employee benefit records and files; 
    • Update and create human resource forms;
    • Perform record keeping and processing of invoices;
    • Provide internal and external communication relating to the department; 
    • Perform pre-employment background and reference checks, and determine suitability;
    • Perform onboarding of new hires, including conducting pre-employment drug testing;
    • Perform new hire data entry into the timeclock and accounting management systems;
    • Record and track employee benefits eligibility dates, probationary periods, and anniversary dates, and communicate the information to the employees, supervisors, managers, and brokers;
    • Assist with placing job advertisements and scheduling and conducting interviews;
    • Assist in organizing and performing employee training programs, workshops and seminars, and events;  
    • Assist with interpretation and compliance of human resources and employee handbook policies;
    • Ensure safekeeping and protection of confidential information, data, records, and files; 
    • Maintain strict confidentiality;
    • Performs other human resources-related duties and responsibilities as assigned.

      Cashier/Convenience Store - Travel Plaza - Tama, IA

      SUMMARY:

      Cashiers are the front-line representatives of the Meskwaki Travel Plaza, providing
      welcoming, professional and helpful service, while demonstrating the ability to provide a quick and
      accurate check-out process. Duties include the sale of fuel, gifts, tobacco products, deli items, groceries,
      and other convenience products, maintaining product stock levels, store cleaning, loss prevention, and
      cashier balancing and reporting.

      DUTIES AND RESPONSIBILITIES:

      • Provide quick, courteous and helpful customer service;
      • Greet, interact and assist customers with selection and sales of merchandise;
      • Comply with all company rules and policies;
      • Operate cash register and payment systems, fueling authorization systems, and CAT weigh scale;
      • Perform age verification for sale of tobacco products;
      • Responsible for the financial activities of assigned register, including the completion, filing, and
        balancing of cash/credit/charge transactions, casino gas coupons, employee discounts, and
        cashier shift reporting;
      • Assist in cleaning and maintenance of interior and exterior areas, such as food and beverage
        stations and dispensers, work stations, shelves, retail products, floors, bathrooms, showers,
        windows, and trucker lounge areas, as assigned;
      • Assist in emptying garbage cans, and cleaning, shoveling and treating sidewalks, as necessary;
      • Assist in setting-up displays and stocking of products throughout the store, including coolers,
        shelves, counters, food station dispensers, etc., as assigned;
      • Assist in cleaning and maintaining gas pump stations, and filling windshield washer fluid and paper
        towels for customer use, as assigned;
      • Follow safety protocols, rules, instructions and guidelines;
      • Report and communicate drive-offs, thefts, illegal activities, acts or threats of violence, and
        destruction of property to supervisor, management and/or law enforcement;
      • Report and communicate employee and customer injuries and/or medical emergencies to
        supervisor, management and/or law enforcement/emergency medical personnel;
      • Other duties as assigned.

      REQUIREMENTS:

      • High school diploma or equivalent;
      • Prefer prior work experience in front-line customer service and money handling;
      • Ability to read, write, and perform basic arithmetic calculations;
      • Must possess strong verbal and written communication skills with the ability to communicate
        effectively, and provide a high-level of customer service;
      • Must understand, exhibit, demonstrate and maintain a high level of professionalism, integrity and
        ethical workplace conduct and behaviors;
      • Must be available to work assigned shift and other shifts, as needed;
      • Must successfully pass a background check;
      • Must successfully pass a pre-employment drug screening.

      SUPERVISION:

      Supervised by the Cashier Shift Supervisor and/or Assistant Supervisor

      SALARY:

      $13.00 per hour, shift differential: $0.25 per hour-2 nd shift; $0.50 per hour-3 rd shift
